The Queens College (QC) Faculty Advisor Hub is a resource for faculty and department advisors. This page provides support for navigating major/minor and departmental advising practices. Advising Technology
Queens College utilizes several key technologies throughout the advising workflow, including CUNYfirst, DegreeWorks, QC Navigate (EAB), and T-REX. This section includes information about campus advising platforms, including quick links for login, how to gain access, and how to leverage the strengths of each platform in support of more successful advising sessions.
Gaining Access to a Platform
Faculty who are new to the advisor role or advisors who are requesting additional or renewed access should follow the steps below:
To gain access to any advising technology platforms in use at Queens College [e.g., QC Navigate (EAB), CUNYfirst, Degreeworks], you must request access via QCHub Fresh Service (support.qc.cuny.edu):

Visit the CUNY Security Website and download the necessary form(s) for your request. The website will have the latest versions of forms.

All forms will require employee information/sign off, managerial information/sign off, and campus level approvals. Once the employee and manager have completed adding their information and signed, the form can be submitted for approval.

Login using your CUNYfirst credentials

Select the “Systems Access Request” option from the “Category” dropdown menu
- Type your request/inquiry in the Description box. If you have any questions about the form you can add them here as well. (i.e. – you are not sure which service indicators are needed to complete the SACR data permissions)
- Click “Attach a file” and upload your form
- Click “Place Request”
- Check your inbox for confirmation that the request was received
- You will be alerted via email once the request is approved
- The campus Application Security Liaison (ASL) will be assigned the ticket and perform role provisioning. Any escalation to CIS or University level approvers will be handled by the ASL.
Note: The Applications Security Liaison Team (ASL) is led by WayGuard Wong and Jason Kong. They can be reached via the ITS Ticketing System.

DegreeWorks Advisor Tips
DegreeWorks is an online advising tool designed to help undergraduate students and advisors review an individual’s progress toward a Queens College undergraduate degree. DegreeWorks takes an undergraduate student’s academic record from CUNYfirst and organizes it so you and the student can see completed and impending degree requirements by category. Be sure to check DegreeWorks alongside your departmental requirements – discrepancies do occur.
What can I do with DegreeWorks as an advisor?
- View a student’s progress toward Degree completion
- View completed and remaining Pathways requirements

About QC Navigate
QC Navigate (EAB) is a predictive analytics and case-management tool that includes student-facing and faculty/advisor-facing components, to help students stay on track toward graduation through organized activities, communication, and tracking.
About T-REX
Transfer Explorer (TREX) shows how courses transfer in all directions across the CUNY system and how CUNY awards credits for courses taken elsewhere as well as for prior learning experiences. CUNY Transfer Explorer also demonstrates how courses fit into majors and minors across campuses. CUNY Transfer Explorer is updated every day with comprehensive information from CUNY’s official source systems. *** Only Transfer Credit Approvers will have access to log into TREX. ***

Pathways
All students at Queens College must complete CUNY Pathways (general education) requirements and a major area of study. The Pathways framework has three parts: the Required Core, the Flexible Core, and the College Option. In addition, all students must complete two Writing Intensive courses, which may overlap with courses taken for Pathways or Major requirements. At Queens College, the Pathways curriculum is an education in the liberal arts and sciences.
QC in 4
QC in 4 is a program that empowers students to graduate on time. It is a partnership between the College and the Student to ensure student success. Students enroll as freshmen and commit to taking 15 credits per semester.
Advisor Forms
The forms included below are frequently used by faculty/department advisors at some point in a student’s career at Queens College. Most forms can now be uploaded directly to QC Hub’s Fresh Service site. Go to support.qc.cuny.edu and login with your CUNY login credentials. Click on “create a new ticket” to initiate a request and/or submit a form for review.
Academic Planning Worksheet
Advisors can use the Acedemic Planning Worksheet to help students map their course term by term. Use a backward design model to help students plan. When students identify the semester they hope to graduate, you can help them work backwards from the goal to see what each semester will require. Identify key prerequisites, co-requisites, and benchmarks along the way. These worksheets can be uploaded to Navigate under “history” to provide transparency in advising for all stakeholders.
Course Substitution/Waiver Form
This form should be used when an academic department agrees to waive or substitute requirements for students. While this form can be completed at any time during the academic year, it should be filled out as early as possible as these waivers/substitutions may affect financial aid for undergraduate students. When complete, this form should be sent directly to the QC Hub through support.qc.cuny.edu. Forms handed to students for delivery will be rejected. The QC Hub reserves the right to send back any incomplete forms for correction.
CUNY ePermit Form
ePermits allow CUNY students to obtain permission to register for courses offered at other CUNY colleges. Prior to taking courses at another institution a student should inquire at the Host College for registration dates and procedures governing visiting CUNY students on ePermit. Change of Graduation Form
Students who have applied for graduation in one term but would like to change and refile for another term need to complete this form and submit it to support.qc.cuny.edu.
Declaration of Major/Minor/Concentration Form
To ADD a major or minor or concentration: Students need to complete this form and obtain a departmental signature. The department should submit completed forms electronically to support.qc.cuny.edu. The department should provide a copy of the completed form to the student before submitting it to the QC Hub.
To DROP a major or minor or concentration: Students do not need departmental approval.
To CHANGE a major or minor or concentration: Students will need to complete two forms: one of these forms to DROP the major and one of these forms to ADD the major/minor/concentration.
note. Secondary Education (7-12) majors require two faculty signatures, one from the Secondary Education and Youth Services (SEYS) department and the second from the subject department.
Grade Change Form
This is a digital grade change form. Faculty must log in with CAMS account info. This form is for resolving INC grades and changing grades from a prior semester. It is not for submitting grades current roster grades. The grade change must be approved by the department chair. The grade change must comply with college policies.
Maintenance of Matriculation Form (Graduate)
Graduate students must be registered during the semester they intend to graduate. If a student is not enrolled in an official course, they must complete a Maintenance of Matriculation during their semester for graduation and pay the fee. Registration for Maintenance of Matriculation is only required for the semester in which you are planning on graduating. Payment of the fee allows students to remain active. In addition, it allows for the use of the college’s facilities (library, laboratories, etc.) as regularly registered students. The fee may not be waived.
Non-CUNY Permit
This form may only be used for the purpose of obtaining permission from Queens College to take course(s) at a Non-CUNY (City University of New York) Institution. It is non-transferable and valid only for the term, host institution and course(s) noted below. After completing all of the information requested below and obtaining the appropriate signatures, please upload this form to support.qc.cuny.edu. Alternatively, students may also submit completed forms electronically by emailing to epermit@qc.cuny.edu. Applications that are incomplete or filled incorrectly will be returned.
PEN Grade Assignment
The PEN Grade Assignment Form is used to assign a PEN (Pending) grade to an active Queens College student for a course in their current semester of attendance. The PEN grade is a temporary grade assigned to a student used to facilitate the implementation of the Procedures for Imposition of Sanctions, whereby the College must hold a student’s grade in abeyance pending the outcome of the academic review process. This form should be submitted to support.qc.cuny.edu.
Registration Review Appeal
Use the Registration Review Appeal Form to request a registration review. Students can appeal tuition charges if they believe they were erroneously charged or there are some extenuating circumstances. This form should be submitted to support.qc.cuny.edu.
Transfer Credit Evaluation Form
The Transfer Credit Evaluation Form is used to assign transfer credit for courses taken at another institution but with an equivalent course at QC. Sometimes a student’s course is evaluated as a 499, but as an advisor you know it has a direct correlation here. Students have 1 year from enrollment to obtain appropriate credit transfer evaluation. This form should be submitted to support.qc.cuny.edu.
Verification of Enrollment Revision
This form should be used by Queens College faculty to make a revision for the attendance roster submitted to the QC Hub via CUNYfirst. Remember that VOE is used to determine financial aid eligibility.
Winter Graduation Request
Students requesting to graduate for winter session need to complete this form by January 1st of the graduation term. Instruct them to submit the form at support.qc.cuny.edu.

Sometimes as faculty and departmental advisors we can provide targeted recommendations to support student needs. Academic Success Referrals
The following resources are related to a student’s academic success including tutoring services, advisement services, and special services for students with disabilities.
Academic Advising Center
The Academic Advising Center is one of the many resources at Queens College committed to providing an educational environment focused on student success. Our advisors are dedicated in assisting current, new and returning students to reach their educational and career goals. It is suggested that students visit us at least once a semester to stay on track for graduation.
Career Support
Our Career Educators are passionate about preparing Queens College students for career success! The Center for Career Engagement and Internships provides career education to students by offering coaching, internships, jobs, and professional connections for success in a transforming global workforce. Our team is comprised of educators, connectors, and collaborators. We implement quality and innovative services through the engagement of students, alumni, faculty, staff, employers, and the community.
Experiential Education
Experiential Education is part of the Office of the Associate Provost for Innovation and Student Success. The office supports the College mission of service by connecting students to experiential learning opportunities to help cultivate their long-term success inside and outside the classroom. Through internships and service projects, students increase their knowledge and skills in collaboration with partner organizations, faculty, staff, and other students.

International Students and Scholars
The International Students and Scholars Office assists students and faculty in obtaining and maintaining the F-1 International Student and J-1 Exchange Visitor, U.S. Visa-Immigration Status for the purpose of studying, teaching, and/or conducting research at the college/university on a short-term basis.
QC Learning Commons
The QC Learning Commons offers services to support students to reach their undergraduate and graduate degree goals. The LC provides free peer tutoring, workshops, bootcamps, recitations and other programming to help students optimize their learning. Additionally, LC houses study spaces, computer labs, and a printing station.
Registrar
The mission of the Office of the Registrar is to provide official academic and student records management services to the College community in an efficient, courteous, secure, and accurate manner.
Special Services for Students with Disabilities
The Office of Special Services for Students with Disabilities at Queens College is dedicated to providing supportive services for all students with disabilities. We ensure their accessibility to all academic and social activities and teach self-advocacy for their success at Queens College and leadership roles in society.
Student Advocacy and Appeals
The Office of Student Advocacy and Appeals is available for student concerns. The Undergraduate Scholastic Standards Committee (USSC) staff is available to discuss questions involving appeals of academic dismissal, registration for additional credits, late and retroactive course withdrawals, extensions of time to resolve temporary grades, and the reopening of closed temporary grades.
Student Affairs and Enrollment Management
The Office of Student Affairs and Enrollment Management supports the mission and strategic plan of Queens College by advocating for students and their development by placing students at the center of all we do. We appreciate each student’s uniqueness, and will strive to provide students with the intellectual and experiential opportunities to make connections and enhance the growth of each student beyond the classroom experience.
Writing Center
The Writing Center is a multilingual academic and intellectual support space where Queens College students work in collaboration with peer tutors to improve their writing. The Center supports undergraduate and graduate students across disciplines, encouraging students’ growth as writers at any stage of the writing process. Queens College Writing Center tutors respect and reflect students’ linguistic diversity while helping students understand the needs of their audiences and assignments of unique writing situations. Tutoring is available 7 days a week. Both virtual and in-person appointments are available.

Bursar
The mission of the Bursar’s Office is to provide accurate and timely financial information to both the campus community and its external constituents. By maintaining the integrity of student financial records and providing exceptional customer service, the Bursar Office strives to support Queens College’s students in meeting their financial obligations as they pursue their studies.
Emergency Grants and Loans
The Queens College Emergency Grant Fund is funded through third-party donors and is intended to provide quick response emergency grants to matriculated students in good academic standing who are experiencing personal emergencies.
Financial Aid
The mission of the Queens College Financial Aid Office is to provide accurate and current information regarding the financial aid process and programs, and to assist students in understanding and obtaining appropriate aid for which they are eligible ‐‐‐ in an efficient and student‐friendly manner.
Office of Honors and Scholarships
The Office of Honors and Scholarships and Macaulay Honors College at Queens College offers students transformative opportunities and experiences, in and out of the classroom, that challenge students to grow and foster their intellectual curiosity and service to make positive change in the world.

Counseling Services
The mission of Counseling Services is to enhance students’ academic, intellectual, personal, and social growth. Special attention is given to students’ health and well-being, with the aim of alleviating the effects of painful experiences, enhancing self-understanding and understanding of others, and fostering students’ pursuit of their goals. Counseling Services also presents workshops, training, and educational consultation to the college community.
Health Services
Health services at Queens College includes free walk-in services for first aid, medical assessment and referrals, immunizations, blood pressure checks, DMV vision tests, and nicotine replacement products. They also offer sessions on birth control, pregnancy, safer sex, drug and alcohol use, HIV/AIDS, nutrition, cardiovascular health, healthy eating, and health promotion.
International Students and Scholars
The International Students and Scholars Office assists students and faculty in obtaining and maintaining the F-1 International Student and J-1 Exchange Visitor, U.S. Visa-Immigration Status for the purpose of studying, teaching, and/or conducting research at the college/university on a short-term basis.
Knights Table Food Pantry
The Knights Table Pantry was established in the fall of 2018 as part of Queens College’s commitment to reduce food insecurity among its student population. The Knights Table Pantry offers non-perishable food and personal hygiene products. Appointments may be set here.
